Streamline Employee Training

Training new hires and keeping existing staff trained is a big challenge and a key reason many managers fear turnover and change.  What if you had a way to get key know-how transferred from your experts and into an efficient, effective training system that was easy to change as your business changes?

Our Zavanta software helps you get know-how out of heads and into an easy-to-use process and procedure system that covers everything required to do any task–from beginning to end.  Some clients use Zavanta SOPs to support their formal training programs, while others rely on their Zavanta generated website as their sole training system.

Auto Repair Retailer Standardizes Training across 100 Stores

A national auto repair and parts company was experiencing serious customer service problems and escalating operating costs.  Customer service levels varied from store to store. Each location had its own way of doing things, making it difficult to shift employees between stores. Training was haphazard and ramp-up time for new employees was too slow.  Using Zavanta software, the company was able to address training deficiencies very quickly. Management was able to capture SOPs into a system employees were able to access, which reduced the training time they spent at each store.

By standardizing work processes across their 100 stores, they significantly reduced new-hire “time-to-competency.” They realized process improvements as well.  Through this process they were also able to reduce transaction errors and customer wait times. Now, a customer can go to any one of their 100 store locations and experience the same level of quality service.

Community Bank Reduces New Employee Ramp-Up Time and Turnover Costs

A community bank had grown quickly but with the threat of increased competition, they realized they needed to address several operational issues.  For one, staff training was becoming a real problem. In the Teller area alone, turnover was 30%. It was becoming more and more difficult to keep everyone updated on new laws and regulations. When the bank was faced with yet another challenge—new regulations relating to identity theft—it became obvious they could no longer sustain their old ways of “on the job” training.Their policies and procedures were outdated and their current method of producing and maintaining them was antiquated.

They used our Zavanta software and under the guidance of a COMPROSE Coach, they were able to overhaul their existing P&P content into a flexible, web-enabled system that could be used for multiple purposes: training, regulatory compliance, and day-to-day operations. Using Operations Mapping their Coach helped them create a New Depository Accounts “system”.  With the new system in place, the Bank decreased employee ramp-up time. Because they now had standardized processes across all their branches, it was easy to move floaters from branch to branch.

International Financial Services Standardizes Training across Continents

The training department of a large, international financial services firm was challenged with getting their   account reps in their Wealth Management division on how to use complex software for managing 401K and Defined Benefits plans.  The software and related protocols changed frequently. Reps were spread out in offices across the Eastern U.S. as well as in the U.K. and training resources were in short supply. The firm needed a way to leverage their training staff’s time more efficiently and get updated protocols out to the field faster.

Applying the COMPROSE Operations Mapping method and Zavanta software, their training group created a flexible, multi-use system that linked all processes, policies, responsibilities, and detailed tasks together, enabling anyone to get the big picture orientation and click to the details.  Having a single system for operations and training has also delivered significant cost savings. Training can now be delivered faster and more efficiently. The “end users”—the Wealth Management staff—are delighted with the quality, thoroughness, and accuracy of the results.
